When contacting the Planning Department with your request to address the Committee, you must provide your full name, contact number, the Application Number upon which you wish to speak on and advise which of the following options you will be utilising:

1.Providing a written response

 You are able to provide a maximum of 500 words in writing to be read out during the meeting. Time will be allocated at the start of the discussion for public submissions to be heard. The content must adhere to usual public speaking guidance (Pages 59-61).

Should you choose to submit a written representation, the Planning department will advise you of the submission deadline. 

2.Joining a Zoom meeting

You are able to request to join the virtual meeting via the Zoom conference app, following confirmation of your request, the following steps will be taken:-

  • You will receive a simple step by step guide on how to join the zoom meeting;
  • An officer from the Council will contact you on the number you provide in advance of the meeting to confirm your details;
  • You will then receive notification, shortly before the meeting commences by telephone, to confirm the necessary ID and password to join the meeting;
  • The meeting ID and password must not be shared with anyone else. Only one person will be able to participate with these details and sharing these details may result in you being unable to join the meeting. 
Please also note that should you choose this option, you are consenting to be included in the recording of the meeting for publication on the Council website. The meeting recording will capture images and sound of you and all other participants within the meeting.

3.Providing a pre-recorded submission

You are able to pre-record a video no longer than 5 minutes outlining your views on the application.  During the meeting, the video will be shared with the committee for full consideration.

 Please note that the content of the video must adhere to usual public speaking rules and all videos will be screened prior to being presented at committee. Any videos that do not adhere to the guidelines (Pages 59-61) will not be shown to the committee.

Should you choose to submit a pre-recorded video, the Planning department will advise you of the submission deadline upon your request.
