How we use your personal information within the Catering Quality and Training Service for the provision of training

The Council provides services for local communities and the people who live in them. Undertaking this work means that we must collect and use information about the people we provide services to and keep a record of those services. Because we collect and use personal information about individuals we must make sure that they know what we intend to do with their information and who it may be shared with.

In this privacy notice we have summarised some of the key ways in which we use your personal information within the Catering Training Service. This information should be read in conjunction with the Council's corporate privacy notice

 1.    Who we are, what we do

The Council’s Catering Quality and Training Team provides statutory training to catering services staff. Our role is to ensure that initial and refresher training in food safety, health and safety, first aid and customer care training is provided to our catering services staff. A training register and training records are also maintained for all RCT staff.

 

We also offer catering training to other internal Council departments and external organisations and businesses upon request.

2. What and whose personal information we hold?

The types of information we collect and use will typically include:

 

  • Information on the trainee including name, address, telephone number, DOB, location of employment (service area, company etc)
  •   Record of training – course attended, dates, location, grade etc.
  •   Date refresher training due  

 3.    Where does the service get my information from?

 For RCT employees the above information will be provided by:

  •   Trainee
  •   Central Catering Team
  •   Employee / trainee e.g. cook
  •   External examinations organisations (such as Highfield HABC and Coleg Y Cymoedd)

  For external trainees the information will be provided by the trainee and/or their employer.

 

 4. What we will do with your personal information?

 We will use this personal information to:

 

  •   Arrange and deliver the required training
  •   Maintain a record of that training
  •   Financial purpose – e.g. in the case of an external trainee to invoice the employer for the cost of the course and recover the debt.

5. What is the legal basis for the use of this information?

Data Protection law says that we are allowed to use and share personal information only where we have a proper and lawful reason for doing so.

 

Our lawful basis for processing personal information for the above purpose is:

 

  •   To undertake our official Council duties and to satisfy our legal obligations under the   following legislation:
  •   Food Safety Act 1990
  •   The Health and Safety at Work Act (1974).
  •   Management of Health and Safety at Work Regulations 1999

 6.    Does the service share my personal information with any other organisation?

 In the case of Council employees we would share your information with:

 

  •   Environment Services – to maintain records of the training as required by law
  •   Line Manager – e.g. to confirm attendance / completion of the course 
  •   Examiner / training providers - Highfield HABC and Coleg Y Cymoedd to verify the examinations and training records. 

For external trainees we will share information with:

 

  •   Employer – e.g. to confirm attendance / completion of the course 
  •   Examiner / training providers - Highfield HABC and Coleg Y Cymoedd to verify the examinations and training records.

 7.  How long will my information be kept?

We will keep our records for 6 years following the completion of the training in line with Health and Safety law for all Council employed staff and 3 years for any external organisations or businesses.

The General Data Protection Regulation (GDPR) gives you important rights, including the right to access the personal information the services hold about you.
